Effective Business Letters: Their Requirements and Preparation
The pattern
This still is filed under Direct-from-the-founder letter.
Define
A letter in one person's voice, written as if to one reader, signed by the person who owns the outcome.
Mechanism
Personal authority. The signature is the proof. The tone is the brand. A committee cannot write this and keep the mechanism.
Verdict
Trust sits on a person
Why it works
The book turns copywriting into a filing system. Every chapter pairs a named situation with the letter that answers it, and every specimen is preceded by an italic line that states the circumstance, so the reader can locate his own problem and lift a model instead of reasoning from principles. The indented specimen blocks also teach layout silently, because the reader sees the paragraph rhythm before he reads a word. Gardner refuses to make business English a separate dialect, which lets him attack stock phrases as errors rather than as taste.
Steal this when
You are building an internal playbook or an SOP library for a team that has to write the same kinds of messages over and over. Label every template with the exact situation it answers, show the finished artifact rather than the rules, and let the reader match his case to the label.
